Freya Movement StudioPrivate Fitness Training Agreement
This agreement outlines the terms of private fitness training services between Freya Movement Studio ("Freya") and the undersigned client ("Client").
1. Services Provided Freya will provide one-on-one fitness training sessions tailored to the Client’s goals, physical condition, and any pregnancy or postpartum considerations. Sessions may include strength training, mobility, core work, breathwork, and other movement modalities.
Training services may be provided by independent contractors who are not employees of Freya Movement Studio. All contractors are selected for their professional qualifications and adherence to Freya’s standards, but they operate independently. Freya is not liable for the independent contractor’s actions beyond the scope of services coordinated through the studio.
2. Scheduling & Cancellation Policy All sessions are scheduled in advance by appointment. Clients must provide at least 24 hours' notice to cancel or reschedule a session. Cancellations made with less than 24 hours' notice will result in the session being forfeited. Exceptions may be made in the event of medical emergencies or labor, at Freya’s discretion.
3. Late Arrival Sessions begin and end at the scheduled time. If you arrive late, your session will still end at the scheduled time. If you are more than 15 minutes late without notice, your trainer will be entitled to consider the session forfeited.
4. Trainer Absence or Substitution In the event of trainer illness, emergency, or scheduling conflict, Freya reserves the right to provide a qualified substitute trainer or reschedule the session. Clients will be notified in advance whenever possible.
5. Session Packages and Expiration Payment for private training sessions is due in advance unless otherwise agreed upon in writing. Session packages expire based on the following schedule:
5-pack: Expires 2 months from date of purchase
10-pack: Expires 4 months from date of purchase
20-pack: Expires 8 months from date of purchase
Unused sessions are non-refundable but may be transferred to another Freya Movement Studio service with written approval. Clients may request to reinstate expired sessions by paying an extension fee of $25 per session, which grants an additional 1 month to use the reinstated sessions from the date of extension purchase.
If a client gives birth before using all sessions in their package, the expiration window will pause. Upon receiving medical clearance to return to physical activity, the client’s remaining sessions will be reactivated, and the corresponding expiration timeline will resume based on the number of sessions remaining.
6. Package Transfers Unused sessions may be transferred to another Freya service (e.g., private training, postpartum support) with written approval. Transfers to another individual are permitted with prior approval. Transfers are not guaranteed and are evaluated on a case-by-case basis.
7. Client Responsibilities Clients are expected to:
Communicate openly about any discomfort, injuries, or changes in their physical condition.
Follow trainer instructions and work within personal limits.
Arrive ready to participate with appropriate attire and hydration.
8. Communication Freya trainers are available for reasonable communication between sessions via email for questions and support.
9. Health & Safety Client agrees to inform Freya of any medical conditions, injuries, or physical limitations. Participation is voluntary, and the Client agrees to assume all risks associated with physical activity.
Freya Movement Studio serves as a coordinating platform for private fitness services. The studio does not directly supervise all training sessions and is not responsible for the independent decisions or conduct of contracted trainers.
10. Liability Waiver The Client understands that participation in physical activity carries inherent risks, including but not limited to injury, illness, or aggravation of existing conditions. By engaging in services through Freya Movement Studio, the Client voluntarily assumes all risks associated with participation.
The Client agrees to release and hold harmless Freya Movement Studio, its owners, agents, employees, and independent contractor trainers from any and all liability, claims, demands, or causes of action related to participation in sessions, whether arising from negligence or otherwise, to the fullest extent permitted by law.
11. Health & Medical Disclaimer By signing this agreement, the client affirms that they have consulted with their medical provider regarding participation in exercise, particularly if pregnant or postpartum. The client agrees to disclose any injuries, health conditions, or changes to their health before each session.
12. Confidentiality All personal, medical, and health-related information shared during sessions will remain confidential. Freya trainers are committed to creating a safe, respectful, and nonjudgmental space. Information will only be shared with another trainer or substitute in the event that it is necessary to support continuity of care or ensure your safety and wellbeing. This will always be done with discretion and only when it is in your best interest to help us serve you fully and appropriately.
13. Photography & Media Release (Optional) Freya occasionally captures photos or videos during classes or sessions for promotional purposes. If you'd prefer not to appear in any marketing content, just let us know—we fully respect your privacy.
14. Governing Law & Severability This agreement shall be governed by the laws of the State of New York. If any provision is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
By signing below, you acknowledge that you have read, understood, and agree to the terms above.
